How to automate lead follow-up with n8n without losing the human touch
Let a workflow catch, score and draft. Keep a person on every message that matters.

Slow follow-up loses leads. Robotic follow-up loses them too. The fix is to automate the catching and keep a person on the deciding.
What to automate, what to keep
- InputA lead arrivesForm, chat, ad or call note.
- RuleScore and routePlain rules: who gets it, how fast.
- AI stepDraft a replyAn AI step writes a first version.
- PersonA person sendsReads it, edits it, decides.
- OutputLoggedStatus and next step saved in the CRM.
Automate what never needs judgement: capturing the lead, checking for duplicates, routing it to the right owner, reminding people, and writing the record. Keep a person on anything the lead will read as someone caring about them: the first real reply, a price, a “no”.
Five steps to build it in n8n
- Catch every lead in one place. Point each source (web form, chat, ad lead form) at one n8n webhook, so nothing lives only in an inbox.
- Clean and score with rules first. Remove duplicates, fill in the source, and score with simple, visible rules (budget given, right size, asked for a call). Rules are easy to explain and easy to fix.
- Route by owner and urgency. A hot lead pings its owner at once; the rest go to a queue with a due time.
- Let AI draft, never send. Give the model the lead’s own words and your tone notes, and have it write a draft into the owner’s task. A person reads, edits and sends.
- Log and remind. Write the outcome back to the CRM, and add a reminder if nobody has replied by the due time.
Where the human touch goes
- Read before sending. A draft is a head start, not a decision.
- Say when it is automated. A quick “got your message, a person will reply today” is honest and fine.
- Make stopping easy. Check for a reply before every reminder, and stop when there is one.
- Check the misses. Once a week, read a handful of leads the rules skipped or scored low.
